Desktop Plugin
What is the Desktop Plugin?
Section titled “What is the Desktop Plugin?”The desktop plugin is a version of Prodgy Assistant that runs locally on the user’s machine. It monitors a configured email mailbox via IMAP, detects Microsoft Teams meeting invitations, and automatically joins meetings to capture transcriptions.
This mode is ideal for:
- Environments that don’t use Microsoft 365
- Organizations that prefer local control over processing
- Users with email providers that support IMAP (Gmail, Outlook, etc.)
System Requirements

- Administrator Rights: Installation requires administrative privileges
- Disk Space: Approximately 1 GB of free space
- Internet Connection: Required for webhooks and email configuration

Installation Wizard
Section titled “Installation Wizard”The installation process is guided by a wizard that automatically configures all necessary components.

Run the installer
Download the Prodgy Assistant Setup file and run it:
- Windows:

If prompted by the operating system, confirm that you trust the publisher.

License Agreement
Read and accept the Terms of Use. Select the transcription language:
- Portuguese (pt) — For transcription in Portuguese
- English (en) — For transcription in English

Email Configuration
Configure the email account the plugin will use to receive meeting invitations:
- Email address: Email where invitations will be received
- App Password: Application-specific password (not your regular password)
- Gmail: generate an App Password in account settings
- Other providers: check your provider’s documentation
IMAP Configuration:
- Host: Pre-configured based on email provider
- Port: Typically 993 for secure connections
- Encryption: SSL/TLS, STARTTLS, or no encryption

Webhook Configuration
Configure the communication channel with the Prodgy platform:
- Webhook URL: Secure endpoint provided by your Prodgy account (must start with
https://) - User/ID (optional): Webhook identifier
- Password/Token (optional): Authentication token
Click Test Connection to validate the configuration.

Review settings
Review the summary with all settings:
- Email configuration status
- Webhook endpoint and credentials
- Selected transcription language
- Additional options (desktop shortcut, auto-start)

Complete installation
The system will:
- Copy application files
- Install the Python runtime (embedded)
- Configure the virtual environment with dependencies
- Create configuration files
- Optionally create a desktop shortcut
- Optionally configure auto-start with the system
After Installation
Section titled “After Installation”- Choose to launch the plugin immediately or run it manually later
- Check the system tray to confirm the plugin is running
- Verify that email and webhook connections are active
Troubleshooting
Section titled “Troubleshooting”Installation Failure
Section titled “Installation Failure”- Ensure you have administrator privileges
- Check that you have at least 2 GB of free disk space
- Confirm your internet connection is stable
- Temporarily disable antivirus if necessary
Email Connection Issues
Section titled “Email Connection Issues”- Verify the email address is correct and has a valid app password
- Confirm that IMAP is enabled in account settings
- Check that IMAP host and port match your provider
Webhook Connection Failure
Section titled “Webhook Connection Failure”- Verify the URL starts with
https:// - Test the URL in a browser to confirm accessibility
- Contact your Prodgy administrator to validate the endpoint
Uninstallation
Section titled “Uninstallation”Windows
Section titled “Windows”- Open Control Panel → Programs and Features
- Find Prodgy Assistant and click Uninstall
- Follow the prompts and restart your computer
- Drag Prodgy Assistant from the Applications folder to Trash
- Empty Trash to completely remove it
